Meals: Breakfast (Buffet Breakfast) and lunch daily. Meals at the hotel include a main dish, dessert, one mineral water or soft drink, and coffee. Lunch will be served on Tucano’s Coffee Shop.

Meeting registration Fee.

$30. Service Fee per billing account (not per person). This fee covers all their services, including processing of Meeting Registration forms.

1st deposit

$150 per person due at time of reservation.

2nd deposit

$400 per person due April 30, 2004

Balance of payment

No later than May 30, 2004

Or as per Airline regulation which ever comes first.

RETURNED CHECKS

Subject to a $30 fee.

CHANGES AFTER DEPOSIT

Will be subject to $25 per revision per booking, plus any expenses imposed by suppliers as a result of these changes.

LAST-MINUTE RESERVATIONS

Bookings received 30 days or less prior to departure will be accepted only on full payment basis plus $25 last-minute booking fee. If requested services cannot be confirmed, all money will be refunded. If services are confirmed, all applicable cancellation penalties will apply thereafter.

 

Travel &Medical Insurance Protection

 

 

The program is non-refundable therefore we strongly recommend you purchase travel insurance. Travel guard will reimburse your non-refundable deposits and non-refundable airline tickets and hotel charges. Insurance should be purchased not later than 7 days after initial deposit for protection if pre-exiting medical conditions force you to cancel or interrupt a trip.

DOCUMENTS

Will be mailed 21 days prior to departure. Should final payment be received fewer than 45 days prior, an additional $10 must be added to your final payment to pay for express delivery. This amount must be paid in full before documents can be released.

CANCELLATION

Hotel Cancellation: Up to 60 days prior to departure: $150 p.p.

60 to 45 days prior to departure: Minimum $150 p.p. or 10% of tour cost

45 to 30 days prior to departure: 45% of tour cost

30 to 21 days prior to departure: 90% of tour cost

21 days - Day of departure/no-show: 100% of tour cost

Airline Ticket: Airline ticket is non – refundable. It is re-usable for the same routing and same carrier within a period of 1-year from issuing date. Penalties and difference in airfare applies. Please inquire with us. Name change is not allowed.

Return date change is allowed. Change fees are charge by the airlines.

REFUNDS

There will be no refunds for unused package tour services or features, including missed transfers due to airline changes and/or missed flights, unused meals, missed sightseeing tours, unused entrance fees, and accommodations. No terms set forth in this letter may be changed by anyone other than an authorized representative of Atlantic Corporate Travel, and in order for those changes to be deemed acceptable; they must be documented in writing. Atlantic Corporate Travel is not obliged to guarantee promises (written or verbal) made by local hotel staff, tour guides, or any other persons not under direct employ of Atlantic Corporate Travel.

HOTEL ACCOMMODATIONS

Will be provided in accordance with the itinerary or similar. We reserve the right to make substitutions with hotels of equal standard. There will be no refunds for any difference in the cost of those accommodations. All rooms are standard twin-bedded rooms with private facilities, unless you have specifically requested and paid for an upgraded room category. Special requests such as bed types, smoking preference and connecting rooms are subject to availability. Room selection in all cases, unless otherwise reserved, is strictly at the discretion of the hotel's management on a run-of-house basis. Triple rooms consist of standard twin beds plus a sofa/folding bed or cot for third person. The number of persons accommodated does not dictate the room size. All hotel rates are based on Atlantic Corporate Travel agreements with its suppliers and are not negotiable. Hotel check-in time is generally not before 4:00 p.m. and checkout time is prior to noon. Please be sure that adequate arrangements for accommodations have been taken into consideration when a late night flight is being used. If a day room is included in the itinerary, checkout will normally be 6:00 p.m.

AIR-CONDITIONING

Although available at most in all hotels, conditions and use of air-conditioning abroad differs greatly from the United States.

TRAVELERS WITH DISABILITIES

Tour participants requiring any form of assistance are required to notify Atlantic Corporate Travel in writing at the time of reservation, and must be accompanied by an individual responsible for providing those services. Tour managers, guides, drivers or other tour, hotel, ship personnel are not able to provide such assistance. Due to space limitations, wheelchairs and walkers cannot be taken aboard motor coaches and/or ships.

PASSPORTS AND VISAS

Passengers are responsible for ensuring that they have the proper travel documents and MUST CHECK with the respective consulate(s) or visa agency to determine whether any visas are required. Any information provided pertains to U.S. citizens only. Passports are required. A visa for Brazil is required.

Hotels

Porter: 50˘ per bag per person.

Wait staff: $1.50 per person (dinner).

Chamber maid: $1.00 per person per day

HEALTH REQUIREMENTS

Please check with your healthcare provider for up-to-date requirements. Required inoculations, if any, must be recorded by clients' health practitioner on a valid vaccination certificate which the client must carry for proof of inoculation where required. Individuals with heart disease, chronic illness, physical handicap, advanced pregnancy, or mental illness should not participate in these rigorous travel programs.

RESPONSIBILITY

All exchange orders, coupons, and tickets are issued subject to the terms and conditions under which such means of transportation, accommodations, and other services are offered or provided. The issuance and acceptance of such documents shall be deemed to be consent to the further conditions. Atlantic Corporate Travel does not own nor operate the hotels, motor coaches, airlines, cruise lines, or any other service providers which compose their tours, and will not be held responsible for changes and/or cancellations by airlines, hotels or cruise ships.

The Travel Agent and/or Tour Operator, Atlantic Corporate Travel, shall not be in any way liable for injury, damage, loss, accident, delay, or irregularity in any vehicle, or through the act of default of any company, or person engaged in conveying passengers, or of any hotel proprietor, personnel, servant or any other person otherwise in connection therewith.

Atlantic Corporate Travel shall not be held responsible for potential risks and hazards associated with travel to destinations included in this brochure, where injury, delay, or unanticipated events may occur. Atlantic Corporate Travel shall not assume responsibility for standards of quality, hygiene, political stability, cuisine, sanitation facilities, cleanliness, telecommunications facilities, methods of conducting business, emergency medical evacuation, treatment, or medical services found in these destinations.

Travel to these areas may entail risks including but not limited to the hazards of traveling in politically unstable areas, civil disturbances, war, and arbitrary changes mandated by government authorities or private concerns. Atlantic Corporate Travel shall be held harmless from any and all liability in connection with the foregoing.

Atlantic Corporate Travel cannot accept responsibility for loss or expense due to delay or changes in transportation schedule or other causes.

NOT INCLUDED

Items of personal nature such as laundry, wines, mineral water, beverages, coffee, tea, food other than the table d'hote menu, passport and visa fees, insurance, and foreign port taxes.

VALIDITY
